Who we are

Quotefern is operated by Antoine Shirley ("we", "us", "our"). Quotefern lets freelancers and contractors turn job notes into proposals using AI, edit them, download a PDF, share a link, text or email them to clients, and see when a client opened or approved a proposal. This policy explains what information we collect, how we use it, and the choices you have.

Information we collect

We collect the information needed to run your account and generate your proposals:

• Account data: your name, email, business name, phone, an optional logo and brand color, and your plan status (Free or Pro).
• Proposal data: the job notes you enter, prices, your client's name and email, and the proposal text that is generated and edited.
• Client activity: when a client opens a share link, we record the first-opened date and a count of opens. When a client clicks Approve, we record the name they typed and the date and time.
• Payment status: we store your plan status and billing state. Card numbers are handled by Stripe, not by us.

How we use your information

We use your information to:

• Run the app, keep you logged in, and maintain your account.
• Generate proposal text from your job notes using an AI model.
• Send the emails you ask us to send, such as a proposal delivered to a client.
• Process subscription payments through Stripe.
• Provide support when you contact us.
• Keep the service secure and prevent abuse.

Who we share it with

We share information only with the service providers needed to run the app:

• Hosting and database: the app runs on Base44, which hosts the app and stores its data.
• Payment processor: Stripe handles subscription payments. We do not see or store full card numbers.
• AI model provider: your proposal text is sent to an AI provider to generate content.
• Email delivery: the platform's email service sends the emails you request.

We do not sell your personal information. We do not rent or trade it. We share it only as described above, or as required by law.

AI processing of proposal content

To generate proposal text, the job notes and details you enter are sent to an AI model provider. The provider processes that input to produce the draft proposal. Avoid entering information you do not want sent to an AI provider.

Your responsibility for client information

You are responsible for having the right to enter your clients' information into Quotefern, and for any notices or consents your clients or local law require before you send their details to a third-party service.

How long we keep data

We keep your account and proposal data for as long as your account is active. If you close your account or ask us to delete your data, we will remove it from our active systems within a reasonable time, except where we are required to keep it for legal, accounting, or security reasons.

Your rights and choices

You can access, correct, or delete your personal information by emailing us at support@quotefern.com. Depending on where you live, you may also have rights under laws such as the California Consumer Privacy Act — for example, the right to know what we hold, to delete it, or to opt out of its sale. Because we do not sell personal information, there is nothing to opt out of. You can request any of these by email.

Security

We use reasonable security practices to protect your information, including limiting access to the systems that need it. No method of transmission or storage is completely secure, so we cannot promise absolute security, but we work to keep your data safe.

Cookies and login storage

We use only the cookies or local storage needed to keep you logged in and remember your session. We do not use advertising cookies.

Age

The service is for adults 18 and over. We do not knowingly collect information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

Changes to this policy

If we change this policy, we will update the "Last updated" date at the top of this page and, for significant changes, post a notice in the app or email affected users.
